Receptionist/Clerical Position

Nature of the Position

​A successful applicant must be able to professionally represent the business by word and action when answering the telephone and greeting clients at the door; to have excellent communications and problem solving skills; to have the ability to multitask; to work either independently or with another employee; to be observant, focused, attentive; to follow instructions either written or verbal; to ask questions when in doubt and to maintain confidentiality at all times.

Competencies (Knowledge, Skills, and Abilities)

​The applicant must have excellent communications skills; keyboarding, ten-key, basic PC, Windows skills; good dexterity; good organizational skills; ability to follow written and oral instructions.

Essential Duties
  • Answer, direct, transfer all Main Line and IT Line phone calls, record and deliver all written messages

  • Professionally greet and assist clients and visitors

  • Obtain and maintain signed Visitor Confidentiality Agreement forms

  • Receive Mail, UPS, FedEx Shipments

  • Accurately Index and QC Service Bureau projects 

  • Prepare documents for scanning: remove staples, paperclips, mend tears 

  • Direct Service Bureau questions to Lisa W or Jocelin 

  • Maintain a detailed project log daily or as directed by the department supervisor

  • Assist with in-house document scanning, Lockbox processing

  • Assist IT by accurately invoicing managed services clients monthly

  • Assist IT by accurately entering credit card charges in spreadsheets

  • Assist IT by moving completed purchase orders to PaperVision

  • Assist IT by receiving and checking in hardware: accurately documenting serial numbers, accurately updating corresponding tickets

  • Assist IT by accurately entering Warranty expiration dates for Dell servers, desktop computers, and laptops into CW Configurations

  • Maintain equipment in work area: keep it clean by vacuuming, dusting

  • Maintain work area: keep it clean by sweeping, vacuuming

  • Other duties, activities, and responsibilities that may be assigned as necessary to fulfill the overall purpose of the position
